"WE MAKE JOINING A TEAM EASIER!"
Directors need a way to stream-line the process of recruiting volunteers, on-board and assign volunteers to projects. Many of the manual tasks can be automated allowing for less chance for miss-steps, improve transition for new leaders and directors while centralizing a repository of information. The project is to create and build a portal to stream-line and automate theses processes.
Through user research I learned that there were a few main pain points:
• Finding the right person and team to connect takes a long time.
• People often don’t feel like they know the right people to reach out to.
• There is a global community interested in learning with others.
• Finding events and connecting with the right people is difficult.
VOLUNTEER persona
Based on the interviews/workshop we set up one persona. We referred to them throughout the entire product development process.
We decided to encourage our team to think about empathy throughout the lifecycle of the project
We used our knowledge to build a persona based off of the user research method of user testing for task-analysis this observation helped us to develop user flows.
We provided context, problems, and motivations of our persona.
Reflecting back to the persona daily keeps our empathy in check.
diRECTOR persona
Conducting UX research by looking through a qualitative lens and asking interviews questions, one was, what activities does Paula partake in that produce lots of data?
She works as a software engineering director. Paula, who works as a director for Silicon Valley Woman Who Code, is in a crisis, as she oversees 800+ members and needs to inform people of projects, events, maintain social media activities, onboard new members, and manage them. Aside from this, she monitors and attends meetings for programming sprints to make sure their work is on track.
She has many requests from volunteers to join and has dozens of projects to coordinate. Once a volunteer joins, Paula has to set up accounts and assign people to the right projects. All this activity creates a lot of data, and Paula is struggling to manage it all.
Some of Paula’s pain points were:
- Reliance on spreadsheets
- Buried emails
- Shared local documents
- Time-intensive, repetitive manual steps
- On-boarding and managing members
the problem STATEMENT
Jenny a volunteer, is excited to study and join a team to learn with others. She is an entry level coder wanting to gain experience after completing a programming boot camp. She wants to work on actual projects to gain more skills. She often has a busy schedule and needs to find a way to connect with others without lots of time and effort. She does not have lots of bandwidth and is taking lots of classes and working. She is very busy gal!
The director needs a way to streamline the process of on-boarding volunteers, leads, and directors, booking events, and managing people. They needed a way to connect volunteers with leads to work on multiple projects in hopes that they will gain more experience.
The issues, is that, directors are using Excel to manage the process and they find it time intensive to maintain, they are having to enter lots of data into table cells of info of people who want to volunteer and it was getting more and more difficult to track and keep spreadsheets up to date.
They were making many errors and having to backtrack to fix them. Directors with their busy day do not have lots of time to keep up with the number of volunteer requests and questions. The director wants to add Jenny to teams as a members and make a match as quickly as possible.
the solution
Volunteers and leaders are able to get project experience under their belt and keep their skills competitive and up to date. They may get to work in a new areas of expertise to pivot their career options and to gain additional skills. The ultimate goal is to align volunteer and leads in teams to work and support each other on projects, in a mentor and mentee relationship dynamic. They have a central place where they can co-create together. Directors are able to reduce the reduce the amount of monotonous work and unload the burden of long hours at work to make team connections.
